Job Description

Purpose of the Role

Perform clerical support function with specific reference to administrative support to technicians. Perform related administrative tasks and process steps including record keeping, filing, and data capturing.

  • Costing of jobs
  • Update invoices and technician sold hours
  • Responsible for keeping up to date and accurate records
  • Responsible for accurate filling of Service documents
  • Process credits
  • Resolve queries
  • Responsible for monthly invoicing
  • Responsible for ordering of PPE where required
  • Adherence to any reasonable instruction
  • Up to date and accurate creditors, including suggested vendor payments, issuing of recons and remittances and journals for payments made
  • Up to date and accurate record keeping on a monthly basis
  • Book and organize payment for travel and accommodation
  • Administer the switchboard on time and message team accordingly
  • Manage Branch cash – all tills are emptied nightly and place in a safe
  • Daily cash up drawn from the system and verified against monies received
  • Monies banked accordingly
  • Branch Debtors – Monthly forecast on Debtors payment receiving
  • Daily, correct and accurate split of payments received on Bank statement
  • Accurate applying of payments posted by HO on system
  • Debt collecting
  • Debtor enquiring
  • Create and post orders for all courier invoices
  • Create orders for w/goods sold by sales personal
  • Order and distribute office supply orders on a monthly basis
  • Purchase staff refreshments & cleaning products and allocating it to the correct GL`s
  • Complete credit card expenses on a monthly basis.
  • Create orders for Demo Requests and assessments of second-hand tractors for whole goods
  • Printer readings for Nashua on a monthly basis
  • Register warranties of new tractors sold on Agconet
  • Maintain a safe working environment (according to safety policy and procedures)
  • Effective self-management and performance ownership
  • Adherence to any reasonable instruction

 

Qualification, Experience and Competencies

Minimum Qualification

  •  Grade 12

Minimum Experience

  • Administrative experience – minimum 4 years
  • A technical background will be an advantage
  • Experience in a Service background an advantage
